Employee Self-Service: Your Guide to the BarSight App

The BarSight mobile app puts your work schedule, time clock, and workplace communication right in your pocket. Check your shifts, request time off, trade shifts with coworkers, and clock in/out—all without needing to bother your manager. This guide shows you everything you can do with the employee app.

Getting Started

Download and Install

  1. Download the BarSight app from:
    • iOS: Apple App Store (search "BarSight")
    • Android: Google Play Store (search "BarSight")
  2. Install the app on your phone
  3. Open the app

First-Time Login

  1. Tap Login on the welcome screen
  2. Enter your Employee ID or Email Address (ask your manager if you don't know this)
  3. Enter your Password (use the temporary password provided by your manager or create one)
  4. Tap Sign In

Forgot Your Password?

  1. On the login screen, tap Forgot Password?
  2. Enter your email address
  3. Check your email for a password reset link
  4. Follow the link to create a new password

Dashboard Overview

After logging in, you'll see your dashboard with quick access to:

  • Today's Shifts - Your schedule for today
  • Upcoming Shifts - What you're working this week
  • Clock In/Out - Quick access to the timeclock
  • Messages - Unread messages from managers or coworkers
  • Alerts - Notifications about schedule changes, shift trades, etc.
  • Time Off Requests - Status of your pending requests

Viewing Your Schedule

Today and Tomorrow

  1. From the dashboard, your shifts for today and tomorrow are displayed at the top
  2. Each shift shows:
    • Date and day of week
    • Start time (and end time if enabled)
    • Your role/position
    • Location (if you work multiple locations)
    • Special notes (e.g., "closer", "on call")

Full Schedule

  1. Tap My Schedule or Schedule from the main menu
  2. You'll see all your published shifts organized by date
  3. Scroll down to view future weeks
  4. Tap on a shift to see full details

Calendar Events

Your schedule may also show:

  • Events - Company meetings, special events, training sessions
  • Time Off - Your approved time off requests appear on the calendar
  • Pending Time Off - Requests waiting for manager approval

Shift Details

Tap on any shift to view:

  • Full start and end times
  • Break duration
  • Other employees working the same shift
  • Shift notes from your manager
  • Options to trade or drop the shift

Clocking In and Out

Use the app to track your work hours:

Clock In

  1. Tap Clock or Timeclock from the menu
  2. If you have a shift today, it will be highlighted
  3. Tap Clock In
  4. Your start time is recorded
  5. A timer begins showing how long you've been working

Take a Break

  1. While clocked in, tap Take Break
  2. Enter the break duration (e.g., 30 minutes)
  3. Tap Start Break
  4. When you return, tap Back from Break

Clock Out

  1. At the end of your shift, open the timeclock
  2. Tap Clock Out
  3. If prompted, enter your cash and card tips
  4. Tap Submit
  5. Your hours are recorded

Requesting Time Off

Submit time off requests directly through the app:

Create a Time Off Request

  1. Tap Time Off from the main menu
  2. Tap Request Time Off or the + button
  3. Select the Start Date
  4. Select the End Date (same as start date for single day off)
  5. Choose Full Day or Partial Day
  6. If partial, enter the start and end times you'll be absent
  7. Enter a Reason (e.g., "Doctor appointment", "Family vacation")
  8. Tap Submit

Request Status

Your request will show one of these statuses:

  • Pending - Waiting for manager review (yellow/orange indicator)
  • Approved - Manager approved your request (green indicator)
  • Denied - Manager denied your request (red indicator)

Viewing Your Time Off

  1. Go to Time Off from the menu
  2. See all your past, current, and future time off requests
  3. Tap on a request to view details or cancel it

Canceling a Request

  1. Open the time off request
  2. Tap Cancel Request or Delete
  3. Confirm the cancellation
  4. Your manager will be notified

Tip: Submit time off requests as early as possible to give your manager time to adjust the schedule.

Updating Your Availability

Let your manager know when you can and cannot work:

Set Your Weekly Availability

  1. Tap Availability from the menu
  2. For each day of the week, choose:
    • Available All Day
    • Available with Restrictions (specify time range)
    • Not Available
  3. If available with restrictions, enter your available hours (e.g., "5:00 PM - 11:00 PM")
  4. Tap Save

Changing Your Availability

  1. Go to Availability
  2. Update the days/times that changed
  3. Tap Save
  4. Your manager is notified of the change

Important: Availability doesn't guarantee you'll get those shifts—it just tells your manager when you can work. Your manager still decides your actual schedule.

Trading and Dropping Shifts

Need someone to cover your shift? The app makes it easy:

Dropping a Shift (Open Trade)

Let any available employee claim your shift:

  1. Go to My Schedule
  2. Tap on the shift you want to drop
  3. Tap Drop Shift or Request Drop
  4. Add a note explaining why (optional but helpful)
  5. Tap Submit
  6. The shift is posted to all eligible employees
  7. First employee to accept it gets the shift

Swapping Shifts (Direct Trade)

Trade your shift for someone else's specific shift:

  1. Go to Shift Trades or Trade Board
  2. Tap Request Trade
  3. Select Your Shift (the one you want to give away)
  4. Select Their Shift (the one you want to take)
  5. Choose the employee to trade with
  6. Add a note
  7. Tap Submit
  8. The other employee receives the trade request
  9. If they accept, the swap goes to your manager for approval

Accepting a Shift Trade

When someone wants to trade with you or drops a shift you can take:

  1. You'll receive a notification
  2. Go to Shift Trades or tap the notification
  3. View the shift details
  4. Tap Accept to claim it or Decline to pass
  5. If accepted, manager approval may be required

Trade Status

  • Pending - Waiting for the other employee or manager approval
  • Accepted - Other employee accepted, waiting for manager
  • Approved - Manager approved, trade is complete
  • Denied - Manager denied the trade
  • Canceled - Trade was canceled

Note: Trade deadlines may apply. Some businesses require trades to be submitted 24-48 hours before the shift.

Messages

Communicate with managers and coworkers:

Reading Messages

  1. Tap Messages from the menu
  2. See all your message threads
  3. Unread messages show a badge with the count
  4. Tap on a conversation to open it

Sending a Message

  1. From an open conversation, type your message at the bottom
  2. Optionally attach a photo or GIF
  3. Tap Send

Starting a New Conversation

  1. Tap the + or New Message button
  2. Select the recipient(s)
  3. Type your message
  4. Tap Send

Group Messages

Your manager may create group messages for:

  • Team announcements
  • Schedule changes
  • Department updates
  • Shift coordination

Viewing Your Timecard

Check your recorded hours and earnings:

Access Your Timecard

  1. Tap Timecard or My Hours from the menu
  2. Select the date range or pay period
  3. View all your clock in/out times

What You'll See

  • Date of each shift
  • Clock in and clock out times
  • Break time deducted
  • Total hours worked per shift
  • Total hours for the week
  • Total hours for the pay period
  • Tips reported (if applicable)

Reporting Issues

If you see incorrect hours on your timecard:

  1. Take a screenshot of the timecard
  2. Note the specific issue (e.g., "Forgot to clock out on Tuesday")
  3. Contact your manager immediately
  4. They can correct punches before payroll runs

Important: Review your timecard every week to catch errors before payday.

Updating Your Profile

Keep your information current:

Personal Information

  1. Tap Profile or My Profile from the menu
  2. Update your:
    • Phone number
    • Email address
    • Profile picture
    • Emergency contact
  3. Tap Save

Changing Your Password

  1. Go to Profile
  2. Tap Change Password
  3. Enter your current password
  4. Enter your new password twice
  5. Tap Update Password

Profile Picture

  1. Go to Profile
  2. Tap your current profile picture
  3. Choose Take Photo or Choose from Gallery
  4. Crop and adjust the photo
  5. Tap Save

Notifications and Alerts

Stay informed about important updates:

Notification Types

  • Schedule Published - New shifts have been added
  • Schedule Changed - A shift time or assignment was modified
  • Shift Trade - Someone wants to trade with you
  • Time Off Response - Your request was approved or denied
  • New Message - You received a message
  • Reminder - Upcoming shift or clock-out reminder

Managing Notifications

  1. Go to Settings in the app
  2. Tap Notifications
  3. Toggle notification types on or off
  4. Choose to receive via:
    • Push notification
    • Email
    • SMS/text (if enabled)

Tips for Using the App Effectively

  • Check Daily - Open the app each day to see your schedule and any updates
  • Enable Notifications - Don't miss schedule changes or trade opportunities
  • Submit Requests Early - Give your manager plenty of notice for time off
  • Keep Availability Updated - Let your manager know when your availability changes
  • Respond to Trades Quickly - Other employees are counting on you
  • Clock In/Out Accurately - Don't forget to clock out at the end of your shift
  • Review Timecard Weekly - Catch any punch errors before payroll
  • Keep App Updated - Install app updates for new features and bug fixes
  • Update Contact Info - Keep your phone and email current so you receive notifications

Troubleshooting

Problem: Can't log in

Solution:

  • Double-check your employee ID or email and password
  • Try the Forgot Password link to reset your password
  • Make sure you're using the correct email address (check with your manager)
  • Contact your manager if you still can't log in

Problem: Not seeing my schedule

Solution:

  • Make sure your manager has published the schedule
  • Check that you're viewing the correct week
  • Pull down to refresh the schedule
  • If you're at multiple locations, verify you've selected the right location

Problem: Notifications not working

Solution:

  • Check your phone's settings and ensure BarSight has notification permission
  • Open the app and go to Settings → Notifications
  • Make sure notifications are enabled for the types you want
  • Verify your email address is correct in your profile

Problem: Can't submit a shift trade

Solution:

  • Check if there's a trade deadline (may be too close to the shift)
  • Verify the shift hasn't already started
  • Make sure you're assigned to the shift you're trying to trade
  • Contact your manager if trades are disabled

Problem: Time off request disappeared

Solution:

  • Check the Past Requests or All Requests tab
  • Your manager may have approved or denied it (check notifications)
  • If it's truly missing, contact your manager

Problem: App is slow or crashing

Solution:

  • Close the app completely and reopen it
  • Check for app updates in the App Store/Play Store
  • Clear the app cache (in Settings)
  • Restart your phone
  • Uninstall and reinstall the app (your data is saved on the server)
