Timeclock and Punch Management Guide

BarSight's timeclock system makes it easy for employees to track their hours and for managers to monitor attendance. Whether you're clocking in from your phone, recording a break, or reviewing your weekly timecard, this guide covers everything you need to know about punch management.

Before You Start

To use the timeclock features, you'll need:

  • Active Employee Status - Your account must be active in the system
  • Timeclock Enabled - Your location must have timeclock/punch functionality turned on
  • Mobile App or Web Access - Clock in from the BarSight mobile app or website
  • Assigned to a Location - You must be registered to work at the location you're clocking in at

Accessing the Timeclock

From the Mobile App

  1. Open the BarSight mobile app
  2. Tap Clock or Timeclock from the main menu
  3. The timeclock screen will show your current status and scheduled shifts

From the Website

  1. Log in to BarSight on your computer or mobile browser
  2. Navigate to App → Clock from the main menu
  3. Your timeclock dashboard will display

Understanding the Timeclock Screen

When you open the timeclock, you'll see:

  • Your Name and Photo - Confirms you're logged in as the correct employee
  • Current Status - Shows if you're clocked in, on break, or clocked out
  • Today's Shifts - Lists your scheduled shifts for today with times and roles
  • Active Punches - Shows any active time punches for the current day
  • Clock In/Out Button - Primary action button changes based on your status

Clocking In

Standard Clock In

  1. Open the timeclock at the start of your shift
  2. If you have a scheduled shift for today, it will be highlighted
  3. Tap Clock In
  4. The system records your start time immediately
  5. Your status changes to "Working" and a timer starts

Clock In Options

Depending on your schedule, you may see:

  • Clock In to Scheduled Shift - Automatically associates your punch with your planned shift
  • Clock In (General) - For unscheduled work or if you don't have a shift assigned
  • Select Role - If you work multiple positions, choose which role you're working

Early or Late Clock In

You can clock in before or after your scheduled start time:

  • Early - Clocking in early is allowed; the system records your actual start time
  • Late - Clocking in late is also allowed; your actual start time is recorded
  • Manager Review - Your manager can review and adjust punches during payroll if needed

Recording Breaks

If you take a break during your shift, you can record it to ensure accurate hour tracking:

Starting a Break

  1. While clocked in, tap Take Break or Start Break
  2. Enter the break duration in minutes (e.g., 30 for a 30-minute break)
  3. Tap Start Break to confirm
  4. Your status changes to "On Break"

Returning from Break

  1. When you return from break, open the timeclock
  2. Tap Back from Break or End Break
  3. Your status returns to "Working"
  4. The break time is automatically deducted from your total hours

Note: Some locations have automatic break deductions based on shift length. Check with your manager about your location's break policy.

Clocking Out

Standard Clock Out

  1. At the end of your shift, open the timeclock
  2. Tap Clock Out
  3. The system may prompt you to enter tips (if applicable)
  4. Confirm your clock out
  5. Your punch is saved and total hours are calculated

Recording Tips at Clock Out

If your location tracks tips through the timeclock:

  1. When clocking out, a tip entry screen appears
  2. Enter your Cash Tips (tips received in cash)
  3. Enter your Card Tips (tips from credit card transactions)
  4. Tap Submit to complete clock out

Your reported tips will appear on your timecard and flow into payroll calculations.

Forgot to Clock Out?

If you forget to clock out at the end of your shift:

  • The system may automatically clock you out after a certain period
  • You'll see a note that the punch was "forced" or auto-completed
  • Contact your manager to correct the clock-out time if needed

Viewing Your Timecard

Your timecard shows all your punches and total hours for a pay period:

Accessing Your Timecard

  1. From the mobile app, tap Timecard or My Hours
  2. From the website, navigate to App → View Timecard
  3. Select the date range or pay period you want to view

What You'll See on Your Timecard

  • Date - Each day you worked
  • Punch In/Out Times - Your actual clock in and clock out times
  • Break Time - Total break minutes deducted
  • Hours Worked - Calculated total hours for each punch
  • Role/Position - Which job role you were working
  • Tips - Cash and card tips reported (if applicable)
  • Weekly Totals - Sum of hours for the week
  • Period Totals - Total hours for the entire pay period

Verifying Your Hours

It's important to review your timecard regularly:

  • Check that all your shifts are recorded
  • Verify punch times are accurate
  • Look for any missing or duplicate punches
  • Report any discrepancies to your manager immediately

Manager Functions: Editing Punches

If you have manager permissions, you can edit employee punches when needed:

Accessing Punch Editing

  1. Navigate to Schedule → Timecard or Schedule → Payroll
  2. Select the employee and date range
  3. Click on the punch you want to edit

What Managers Can Edit

  • Punch In Time - Correct the start time
  • Punch Out Time - Correct the end time
  • Break Duration - Adjust break minutes
  • Tips - Modify reported cash or card tips
  • Role/Position - Change which role the hours are assigned to

Correcting Common Punch Issues

Employee Forgot to Clock In:

  1. Find the employee's schedule for that day
  2. Add a manual punch with the correct start time
  3. Add a note explaining the correction

Employee Forgot to Clock Out:

  1. Find the punch that's still "active" (no end time)
  2. Click to edit the punch
  3. Enter the correct clock out time
  4. Save the changes

Wrong Clock In/Out Time:

  1. Click on the punch to edit it
  2. Adjust the start or end time as needed
  3. Verify the total hours are now correct
  4. Save the changes

Tips and Best Practices

For Employees

  • Clock In On Time - Set a reminder to clock in when your shift starts
  • Always Clock Out - Don't forget to clock out at the end of your shift
  • Record Breaks Accurately - Enter the actual break time you took
  • Check Your Timecard Weekly - Review your hours each week to catch errors early
  • Report Discrepancies Immediately - Tell your manager right away if something looks wrong
  • Keep Your Phone Charged - If using mobile app, ensure your phone has battery
  • Update the App - Keep the BarSight app updated for the best experience

For Managers

  • Review Punches Daily - Check for missing or unusual punches each day
  • Set Clear Expectations - Train employees on proper clock in/out procedures
  • Document Corrections - Add notes when editing punches to create an audit trail
  • Communicate Break Policies - Make sure employees know your break requirements
  • Monitor Overtime - Watch for employees approaching overtime hours
  • Approve Timecards Promptly - Review and approve hours before payroll deadlines

Troubleshooting

Problem: Can't clock in - "Not allowed to punch"

Solution: This means timeclock access is disabled for your account or location. Contact your manager to verify:

  • Your employee status is active
  • You're assigned to work at this location
  • Timeclock functionality is enabled for the location

Problem: Clock in button is grayed out or missing

Solution: You may already be clocked in. Check your status at the top of the screen. If you're already working, you'll see a "Clock Out" button instead.

Problem: Wrong shift is highlighted when clocking in

Solution: If you have multiple shifts today, the system highlights the closest upcoming shift. You can manually select the correct shift before clocking in.

Problem: Forgot to record a break

Solution: Contact your manager to manually adjust your punch and deduct the break time. Breaks cannot be added after clocking out.

Problem: Tips entry screen doesn't appear

Solution: Tip tracking may not be enabled for your role or location. If you need to report tips, ask your manager about editing tips through the punch record.

Problem: Hours on timecard don't match what I worked

Solution: Check for these common issues:

  • Missing clock in or clock out
  • Break time was deducted automatically
  • Punch times were edited by a manager
  • Multiple punches on the same day

If you still can't identify the issue, bring it to your manager's attention immediately.

Problem: "Could not punch in" error message

Solution: This can happen if:

  • You're already clocked in somewhere else
  • There's a network connectivity issue
  • Your account permissions changed

Try refreshing the page or restarting the app. If the problem persists, contact your manager.

Understanding Punch Statuses

Punches can have different statuses that indicate their state:

Status What It Means
Active/Working You're currently clocked in; no end time recorded yet
On Break You're clocked in but on a recorded break
Completed You've clocked out; punch has both start and end times
Forced/Auto Closed System automatically clocked you out (forgot to clock out)
Edited A manager modified the punch times
